What an invoice has to include
Most countries ask for the same eight things. Miss one and the client's accountant sends it back.
- The word "Invoice" and a unique number. Sequential numbers (2026-041, 2026-042) are the simplest to defend at tax time.
- Your details. Name or business name, address, and your tax ID if you are registered for VAT, GST or sales tax.
- The client's details. Legal name and address. For a business client in the EU, their VAT number as well.
- Dates. Issue date and due date. "Due on receipt" is a wish, "Due 28 Oct 2026" is a deadline.
- What you did. One line per item, with quantity and rate for hourly work, or a flat amount.
- Tax. The rate and the amount as separate lines, or a note saying why there is none (not registered, reverse charge, export).
- The total, in one currency, with the currency written out.
- How to pay. Bank details, PayPal, Wise. The reference the client should use. Payment terms and the late fee if you charge one.
Three habits that get invoices paid faster
- Send it the day you deliver, not at the end of the month. The work is fresh and so is the goodwill.
- Short terms. Net 7 or net 14 for freelance work. Net 30 exists because big companies prefer it, not because you have to accept it.
- Put the late fee in the contract first, then on the invoice. On the invoice alone it is a suggestion; our late fee calculator works out the amount.
Questions people ask
Is this invoice generator really free?
Yes. No account, no email, no watermark, no limit on how many you make. Everything runs in your browser; the invoice is never sent to us. We make Go Lancer, a paid tool for freelancers, and this is how some people first hear of it.
Where does my data go?
Nowhere. The form, the preview and the PDF are built on your computer. Close the tab and it is gone, so download the PDF before you do.
Do I need to charge VAT or sales tax?
Only if you are registered for it. Under the registration threshold (which depends on your country) you leave the rate at 0 and write nothing. EU freelancer billing an EU business in another country: 0% with "reverse charge" in the note; our VAT checker tells you the exact wording. Client outside your country's tax system: usually 0%.
What invoice number should I use?
Any system that never repeats. Year plus a counter (2026-001) is the most common. Do not skip numbers and do not reuse one after deleting an invoice; tax offices notice gaps.
Hourly or flat rate on the invoice?
Whatever the contract says. Hourly: quantity and rate per line, so the client can check it against the hours you reported. Flat: one line with the agreed amount, and the scope it covers in the description.
Can I add my logo?
Yes, with the Upload logo button. It goes into the PDF and never leaves your computer. PNG or SVG with a transparent background looks best.
